Approvals and team roles
Owner, admin, editor and viewer. Decide which roles need approval for their posts and who grants that approval.
Roles
- Owner: full access, including billing, changing roles and deleting the workspace. Every workspace has exactly one owner.
- Admin: manages channels, team and settings.
- Editor: creates and schedules posts, but does not manage team or billing.
- Viewer: looks at the schedule and analytics without posting.
Under Team you invite members by email with a role. Per member the owner can switch individual permissions on or off, independent of the role. Role names can be customized.
Setting up approvals
The Team page has the Approvals card (visible to the owner only). There you tick which roles need approval, for example editors, and which roles besides the owner may approve, for example admins. A role cannot be both at once.
How it flows
- An editor creates a post and clicks schedule. The post does not enter the schedule but goes to Posts, Approvals tab.
- Approvers get a notification. They review the full post: caption per platform, media and the chosen time.
- Approve & schedule puts the post in the schedule at the chosen moment. If no time was chosen, it publishes right after approval.
- Reject asks for a reason; the editor sees it on the post and can adjust and resubmit.
Approval workflows are part of the Team plan. AI analyses started by editors can require approval through the same card.
